    GovernmentCIO is currently in search of an Executive Assistant to support the Executive Team of GCIO. 

     

    The role requires strong communication skills, flexibility, excellent interpersonal skills, project coordination experience, computer skills, and the ability to work well in a fast-paced environment with all levels of internal management and staff, our board, customers and vendors.

    Responsibilities

    The responsibilities of this role include, but are not limited to: 

    • Providing executive level assistance to the Executive team and other top level Project Executives of teh company (corporate support). 
    • Managing detailed business and personal calendars, meetings and logistics, preparing materials and setting up department activities. 
    • Arranging complex international and domestic travel agendas and preparing travel and expense reports. 
    • Assisting in managing global department-wide communication and activities.
    • Prioritizing requests and ensuring deadlines are met. 
    • Responding to inquiries, managing incoming communications and responding as necessary. 
    • Maintaining accurate databases including but not limited to Availability and Needs reports and Salesforce. 
    • Organizing client, project and internal/external meetings including room bookings and catering arrangements as required.
    • Event planning for staff. 
    • Coordinating overseas and interoffice conference calls / video conference calls (i.e. managing the different time zones).
    • Printing relevant documents in preparation of meetings
    • Organizing and distributing incoming/outgoing project correspondence.
    • Preparing agendas, taking minutes and other relevant documentation, as necessary. 
    • Filing and scanning project correspondence. 
    • Assist with Bid Proposal paperwork (Bid forms, small business certification, relevant signatures and approvals, bonding documentation, government certs and reps) 
    • Creating and formatting PowerPoint presentations 

    Qualifications

    Minimum Requirements 

    • 10 years of progressive administrative support, to include 5 years supporting multiple executives in the most confidential way 
    • Experience working in a distributed global environment and across multiple time zones 
    • Working with suppliers and vendors 
    • Achieving results by influence and diplomacy across a large matrixed organization 
    • Ability to anticipate business needs, handle issues and ask the right questions before problems arise 
    • Understanding of business concepts 
    • Highly proficient in Microsoft Outlook, Excel, Word and Power Point 
    • Adept at working in a highly demanding, dynamic and fast-paced environment 
    • Experience working with highly confidential information 
    • Ability to think and act independently 

    Preferred Qualifications 

    • Prior experience working for a management and technology consulting company.
